Job Description

  • Performs administrative and office support activities for multiple supervisors.
  • Fielding telephone calls.
  • Receiving and directing visitors.
  • Word processing.
  • Creating spreadsheets and presentations, and filing.

Responsibilities

  • Assist in planning and organizing meetings; this includes preparing materials for the meeting, taking care of tea breaks and lunch, making sure all the appropriate equipment is available for the meeting and taking notes
  • Conduct outreach to potential vendors as requested
  • Assist with implementing communications activities
  • Maintain a calendar of key events (meetings, conferences, trainings, etc.)
  • Assist the Finance/Admin Manager in maintaining the equipment audit log and supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Assist with filing and other office workflows
  • Other activities as necessary and appropriate
