A Document Controller maintains and manages all important documents for a particular project and assures that it is easily accessible and stored.
A Document Controller coordinates with the different departments within an organisation and ensures that documents are kept in the right location and are accessible to all internal services. This role often involves working to deadlines and ensuring that all departments of the organisation are following the same procedures with regards to documents
§ Develop and implement processes related to document control and management.
§ Checking quality of documents.
§ Monitoring processes.
§ Producing listings.
§ Setting up project filling systems.
§ Teaming up with other documentation groups.
§ Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
§ Input document data into the standard registers ensuring that the information is accurate and up to date.
§ Generate the various document control reports as required.
§ Typing of site documents, and follow up of all the site needs
§ Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable
§ Maintain updated records of all approved documents and drawings and their distribution clearly
§ Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
§ Maintain the files and control logs as required by the project.
§ Good experience of working in an office
§ Fluent spoken and written English
§ Good keyboard skills and IT literacy in Word and Excel
§ Excellent organisational skills, accuracy and attention to detail
§ Good forward planning skills
§ Good interpersonal and communication skills
§ Ability to work on own initiative without supervision
§ Ability to work under pressure
§ HND/B.Sc in any field
§ Certification in QAQC or experience in this area is of added advantage
