Job Description

    Conducting research, make site visits, and find resources to assist in decisions about event possibilities

    Carrying out negotiation with vendors

    Coordinating details of events such as conferences, opening and closing ceremonies, fundraising dinners, charity events and business meetings.

    Managing staff responsible for event coordination activities

    Preparing and managing budget for various events

    Keeping track of event finances including cheque requests, invoicing, and reporting.

    Booking venues and negotiating fees.

    Preparing, modifying and managing events and servicing contractual agreements

    Establishing and maintaining relationships with key internal and external stakeholders.

    Preparing invitations and sending out at appropriate time.

    Serving as liaison with vendors on event-related matters.

    Managing supplier relationships

    Managing security and logistics for events.

    Managing the company s participation in book fairs and festivals within and outside Nigeria.

    Sourcing for and contracting event vendors.

    Coordinating appointments and visits to see our space, and scheduling of events on the calendar.

    Analyzing event performance and preparing post event evaluation.

    Defining the company s brand through events.

    Proposing new ideas to improve the event planning and implementation process.

    Assisting with managing on-site production and cleanup for events as necessary

    Ensuring staff are adequately prepared for events.

    Delivering events on time, within budget, that meet (and hopefully exceed) expectations.

    Setting, communicating and maintaining timelines and priorities on every event

    Preparing and providing periodic progress reports to Management for each event project.

    Managing operational and administrative functions to ensure specific projects are delivered efficiently

    Performing other related duties as may be assigned.



    University degree in business, management preferred; significant work experience can substitute for the degree.

    At least 3 years experience with office administrative management.

    At least 3 years experience event management or related fields.
