The primary responsibility of the receptionist is handling the front office reception and administration duties, including greeting guests, answering phones, and handling company inquiries. This position will play a part in sales and marketing efforts including marketing campaigns, customer retention, CRM, customer surveys, and sales and marketing meetings.
There are no supervisory responsibilities for this position.
Essential Job Functions
Answer the main phone line and redirect the calls to the appropriate individual or department.
Greet all visitors and record details regarding their visit.
Receive and sort all mail.
Operate postage machine.
Provide administrative support to the Sales & Marketing department as required including phone calls, filing, meeting planning, office supply, general purchasing, etc.
Communicate with active customers and prospective customers in person or over the telephone as required. Maintain clear documentation of information provided by prospects.
Communication with operations regarding new business implementations, contract reviews, etc.
Participate in the preparation for and execution of Sales presentations as required, keeping Sales & Marketing as a primary focus for everyone in the organization.
Seek continual training and education bringing new knowledge to the position and to the company.
Participate in the planning and execution of customer events, customer entertainment, Holiday program, etc.
Provide support for developing marketing materials and executing marketing programs as needed.
Prepare monthly reports required for sales and marketing meetings.
Assist in the tracking and/or reporting of key marketing information and statistics.
Analyze data and make recommended changes to achieve desires results.
Participate in the development and completion of department goals on a quarterly and annual basis.
Education – High school diploma required. Undergraduate business degree (or the current pursuit of) preferred.
Experience – Some professional front office experience a plus, but not required.
Travel – No travel is required for this position
Testing – Must be able to pass pre-employment testing.
