Job Description

Position Details: Responsibilities for this position may include but are not limited to:

  • Handles highly confidential material and maintains confidential records for HR team. Complies with data privacy laws and legal requirements.
  • Work with Staffing Services, Sponsor Group, and position owners to schedule new hires and transferees for on-boarding and new hire orientation. 
  • Conducts on-boarding orientation for new hires and monitors process and tools for continuous improvement. 
  • Responsible for time administration for TP&S Upstream Capability, Corp Org Capability and HR HQ. Duties including monitoring and reporting on exception time, disability leaves, vacation, and ah hoc reports as requested. Provides guidance on use of correct time coding. Processes approved non-expat premiums and other non-routine payments. Exception time coding for disability cases with guidance from disability management, workers comp, HR, and/or employee's supervisor. 
    Investigate and reconcile any discrepancies in employees' time. Assists and process changes in cost center and billing codes for employees.
    Provides time administration reports of exception time, such as vacation, deferred vacation, sick, etc. as requested.
  • Responsible for ordering supplies, equipment and catering as directed by team. Reconciles purchasing card account monthly. 
  • Assists with all meeting logistics including booking conference rooms, catering, setting up AT&T conference calls and/or video conference calls, booking hotels for external meetings and corresponding logistics.
  • Monitors and tracks training to ensure team members are current on their corporate compliance and safety training requirements.
  • Assist in the preparation of documents, spreadsheets, databases and materials for presentations on behalf of the HR team.
  • May prepare reprographic requests, prepare FedEx and other mail shipments, order
    business cards.
  • Serve as backup support to HR Assistant.
  • Effectively manage and coordinate special projects as requested
  • Requirements

  • Required Qualifications:

  • High School Diploma or equivalent
  • Ability to analyze/verify data and ensure data integrity
  • Intermediate to Advanced Skills in Microsoft Office (Outlook, Word, PowerPoint, and Excel) are essential
  • Some local travel required
  • Proven strong work ethic and exhibit a sense of urgency
  • Proven strong multitasking skill set
  • Ability to build rapport and establish positive working relationships.
  • Team player and is able to assist others while balancing own work activities.
  • Adapts easily to the needs of diverse work groups. 

    Preferred Qualifications:

  • Chevron experience is a plus
  • Ariba, SharePoint, and SAPHR experience
