Job Description

Skill set:
* Minimum of two years experience as a Receptionist and/or Virtual Assistant
* Excellent phone manner
* Capable of building accurate and efficient database from scratch (Excel)
* Excellent English skills in both verbal and written communications
HighRise, LinkedIn & Twitter Management experience and skills are preferred
* Strong Admin support skills is highly sought.
* Social Media and SEO understanding or skills will be a definite advantage but not necessary.
* Highly organised with keen attention to details
* Very proactive with good anticipation and initiative to do more for the company
* Insightful and can come up with good recommendations in improving systems/processes further
* Professional and values honest hard work and is very dependable
* Amenable to starting Part Time in view of growing the role to Full Time in a few months depending on performance

Work experience: 2-3years

Responsibilities

Customer Service: Answer and transfer phone calls accordingly and take messages where appropriate.

Diary & Email Management: Take care of schedules, diary management and travel details as instructed. Prepare, create, delete & sort emails

Operational: Learn and get deep on the operational matters of the company

Proposals: Generate and follow up of proposals sent to clients.

Onboarding: Ensure the onboarding of new clients is done precisely and accurately.

New Client Surveys: Deploy and analyze Survey Monkey results for new and existing clients

Business Development Activity & Support: Assist Director Build customer perception and be a point of contact. 

Activities to include:
Build a database of Web Designers contact details by company and key decision makers personal details.

Phone Calls - Referral Partners: Assist with business development by following a script created to call prospective Referral Partners to TopRankings. (Web Designers) Prospective Customers. Inviting these contacts to engage with TopRankings and consider referring their clients to TopRankings for SEO services. 

Phone Calls - Prospective Clients: Call prospective clients and offer them a complimentary audit of their website’s current SEO performance. 

Emails: Use Director’s email account to send an introduction email together with collatoral etc to both contact points above. 

LinkedIn: Manage and Use Linked In & Twitter to increase social media reach as well as use LinkedIn to generate new business interest in TopRankings. 

Business Development - LinkedIn to be used to 
create automated recurring reports of key decision makers - like Marketing Managers. 

Use LinkedIn Inmail to prospect and appointment set a discussion between Director and prospect. 

Create PowerPoint presentations as needed
Work with MS Office applications for the other Admin requirements
Assist in email campaigns as much as capable - Mailchimp
Update CRM as instructed

If capable, perform basic Social Media updates and pitch in ideas about other online Marketing campaigns that can be explored
Marketing background will be an advantage
Perform other tasks as assigned
