Job Description

Working as part of HR Shared Services (HRSS), within the Pay & Benefits Team, the Payroll Officer will lead the day to day activities of the UK&I Firm’s outsourced fully Managed Payroll Service. The role provides the efficient delivery of payroll across a range of populations and includes specialist advice, guidance and liaison with a range of 3 rd party suppliers 

  • Effective management of the managed payroll services for the UK & Ireland firms employees and retirees, through 3rd party provider to agreed service levels

  • Work with the Pay & Benefits Services Manager and HRSS Leadership team to set the operational direction for Pay & Benefits administration

  • Day to day coordination of payroll activities with the team’s Payroll & Benefits Lead co-ordinator

  • Act as the first point of contact with the Payroll Managed Service provider escalating issues as appropriate, including the planning and scheduling of the business change and legislative agenda

  • Act as escalation point for all technical payroll queries from payees and internal clients that have not been resolved by the Payroll Managed Service provider

  • Ensure that Payroll Outputs are delivered in accordance with monthly timetable by the Payroll Managed Service provider and internal stakeholders

  • Develop and maintain strong day to day relationship with key internal stakeholders e.g. the UK&I GHRS Systems Team and Finance and develop a robust understanding of the automated payroll interfaces

  • Track the Payroll Managed Service Budget

  • Highlight service level and risk issues to Pay & Benefits Services Manager and/or other key stakeholders

  • Contribute effectively to major change projects/initiatives e.g. Supplier Selection as managed service arrangements fall due for renewal and contribute to HRSSC, CBS and wider HR projects and initiatives

  • Take a proactive role in the sharing of knowledge throughout the team, influence change and drive through continuous improvement opportunities

  • Commit to own personal development and completion of appropriate learning and development activities to ensure capability and skills are current

  • Responsibilities

  • Lead the monthly Payroll Processing Timetable and coordinate the monthly payroll sign off and pay over activity with key stakeholders.

  • Ensure the Payroll Managed Service provider delivers against the Monthly Payroll Output’s Timetable to agreed timescales, eg, GL output to Finance, actual salary reconciliations and season ticket reports etc

  • Lead weekly supplier meetings with the Payroll Managed Service provider and internal stakeholders

  • Oversee the accurate transfer of payroll information to 3rd party providers, eg, pension pay overs and uploads

  • Lead on the following Audit and Reconciliation activity; Comparison Report, Debtors Adjust, cash book etc

  • Lead on allocated responsibilities and cyclical activities e.g. P11D production, set out in the Pay & Benefit Team Event Calendar

  • Participate proactively at the formal Vendor Evaluation for the Payroll Managed Service Review Meetings (quarterly)

  • Provide cover and support to the Pay & Benefits Services Manager as required
  • Requirements

  • A thorough knowledge of payroll administration, best attained through a previous Payroll Administrator role and some experience in a specialist pay & benefits function

  • Experience of supplier management and delivering via 3rd party providers

  • Good interpersonal and communication skills with a focus on supplier development, numerical capability and attention to detail

  • Knowledge of operational HR systems e.g. PeopleSoft and the work force administration life cycle

  • Qualified to ‘A’ level standard or equivalent experience
