Job Description

Since 2010, the Chalhoub Group has made a significant investment to redefine the way to operate its business, building a Group CORE business model & a CORE business solution (Oracle Based), that is being deployed to all entities in all countries. In the endeavour to maximise the return on this investment, the Chalhoub Group is looking for its Supply chain and Inventory management process manager.
The Supply chain and Inventory management process manager will be integrated in a team of 5 process managers covering different areas of expertise (Retail store operations, Pricing and marketing, Forecasting and demand planning, Supply chain and inventory management, Finance and Accounting and Logistics). This team reports to Group Organization & Structure and works for the entire Chalhoub group.
The Supply chain and Inventory management process manager is responsible for supporting adoption, enforcement and enhancement of processes in the systems related to Supply chain and Inventory management and brings her/his expertise of this area to the Chalhoub group. He will be focusing mainly on the enforcement and monitoring of the downstream processes of Supply chain (purchase flow from purchase order raising, item transfers and returns, consignment model, and inventory management). He will have to work closely with the Forecasting and planning process manager.
To perform his assignment, the Forecasting and planning process manager is in direct working relationship with Business Model Owners (General managers acting as representatives and custodian of the Group business model) and with the Group senior management (Business Review Committee).

Responsibilities

Main Responsibilities

Measure & enforce of adoption of supply chain and inventory management processes by the business :
» Define best-practice KPIs to measure adoption of supply chain and inventory management processes by users;
» Perform fact-based review and audit of adoption in different companies already functioning with the ERP system (e.g. awareness of the capabilities of the system, knowledge of the operations, trainings for all business operators, correct usage of the system);
» Design action plans to improve adoption with Business Model Owners to be submitted to the Business Review Committee;
» Implement plans to improve adoption and monitor adoption progress.

Measure process effectiveness :
» Define process and output KPIs to track improvements in supply chain and inventory management processes (e.g. accuracy of stock reports, lead time between pre-ordering and purchase order placement, sell-thru and stock ageing, transfers between stores and warehouses, service performance rate etc…);
» Review and monitor regularly the KPIs, measure the gap with target and report evolution to BMOs and management;
» Conduct root cause analysis of underperforming processes, detect weaknesses and gaps;
» Design action plans to improve impact of system processes on Operational outputs (e.g. training, process redesign) with Business Model Owners to be submitted to the Business Review Committee;
» Implement plans to improve impact of systems on Operations.

Suggest process enhancement or gather enhancement request from business
» Formalize change requests;
» Produce business cases on these change requests (scenarios, pros and cons, costs – benefits analysis) in coordination with different stakeholders (marketing, sales, logistics, Master Data Management);
» Act as a bridge between the process operators in Business activity (Retail, Distribution and Support services), the ERP team (in charge of the on-going deployment of new sites), and Group IT;
» Elaborate recommendations with Business Model Owners to be incorporated to the overall analysis submitted to the Business Review Committee;

Assess business transformation impact on Operations :
» Identify operational impacts of business transformations decided by the Group’s senior management (e.g. new business models, new categories, e-commerce, etc…) and contribute to ROI calculation;
» Elaborate recommendations with Business Model Owners to be incorporated to the overall analysis submitted to the Business Review Committee;
» Support the creation of training materials and the delivery of training to the business end users

Assess additional training needs and coordinate with the training cell
» Assess the needs for training in companies already functioning with the ERP system;
» Design training plans for companies already functioning with the ERP system with Business Model Owners action to be submitted to the Business Review Committee;
» Assess the effectiveness of training material and training sessions by regular attendance and review with the business;
» Assess enforcement of trainings by trainees;
» Contribute to training material, in particular its update following the changes to the documentation.
Contribute to define the Group reporting framework :
» Identify and describe the needs of the business in terms of information in the reports generated by the systems (operational reports, analytical reports and dashboards);
» Identify the need to update these reports with the introduction of new business models or the changes in the Group’s business rules;
» Monitor with the other process owners the adoption of reporting documents by business end users in the different companies and identify issues (process, quality of information, awareness, etc…);
» Design recommendations on major evolutions to the reporting framework of the Group or action plans to improve adoption with Business Model Owners to be submitted to the Business Review Committee;
» Implement plans including monitoring of relevant changes to the reports in the system and related trainings for business end users.

Maintain process related documentation
» Update process related documentation and develop new documentation if new processes are implemented, inclusive of flowchart, narrative, structure representation, form...;
» Make sure that the documentation is available, user-friendly for business end users;
» Make sure that the documentation is accessible & used;
» Make sure documentation is consistent with the business rules validated by the top management as well as with other Group policies and procedures

Requirements

5 years + of experience and a track record that demonstrates positions of increasing responsibility and accomplishment in supply chain and inventory management ideally in large FMCG companies or in companies active in luxury goods (in particular Beauty – perfumes, make-up, skincare – and ready-to-wear Fashion);
3 years of experience in consulting with specialization in supply chain & inventory management is a significant advantage;
Experience in ERP systems (especially Oracle), EDI (Electronic Data Interchange) and VMI (Vendor-Managed Inventory) is an advantage;
Additional expertise and experience in Gift (tableware, accessories) is an advantage;
Proficient user of analytical tools.
Ability to take ownership of her/his scope, flexible and self-motivated, with ability to work on multiple tasks;
Proactive responsible individual, able to set own action plans with minimum management;
Proven analytical and problem resolution skills, with the ability to 'think outside the box' and move concepts to implementation;
