Provides a variety of routine/standardized administrative and secretarial support services to a department or group of professionals. Requires secretarial and administrative skills.
Independently prepares minutes of meetings, presentations and correspondence of a standard and nonstandard nature; coordinates/performs production; prepare graphics, perform editing, make copies and bind reports
Routinely solves problems and questions that normally arise during the course of the job
Develop templates for program documents
Liaise with document originator, reviewer and approver during document preparation
Compose, edit, and format project documents.
Generates and maintains documents from database or network system
Perform coordination role for conferences, professional meetings and community or office events including securing facilities, coordinating hotel services and overseeing execution of events
Supports staff in troubleshooting administrative issues
Obtains and distributes employee contact list, holiday and travel schedule.
Order, maintain, and distribute office supplies
Moderate to advanced knowledge of Microsoft Office Applications (Word, Excel, PowerPoint, Visio & Outlook)
Knowledge of typical procedures, practices, and techniques required for correspondence, procurement and petty cash fund administration.
Familiarity with document control / management systems
Ability to work independently, multi-task, prioritize and meet deadlines
Expected to utilize independent judgment to adapt practices, procedures and techniques as required to accomplish duties and responsibilities of the job
Ability to interact in a professional and respectful manner
Experience in dealing with confidential and highly sensitive materials and deadlines
Previous work experience in an engineering office is preferred
Fluent in English
