This position's primary responsibility is supporting the Facilities Team in ensuring that projects are managed in line with the FM project process and delivered to meet the Firms business needs. Where projects are approved, to successfully self deliver on all projects below a value of £600,000 within time, quality and budget to the full satisfaction of the business with minimum disruption and ensuring compliance to all relevant legislation. Where project demands exceed time availability the Project Manager will agree with the Head of Facilities Management and Senior Operations Manager appropriate internal or external resources to deliver projects.
This position will also interact with key stakeholders in the business as client sponsors to the related projects.
•Project management of capital projects within UK & Ireland below £600k, this will include:
•Development of the budget, application for funds via project approval process. Management of project budget across project lifecycle;
•Development of programme for delivery of works and management across project lifecycle;
•Liaison and management of all works and parties onsite to ensure effective delivery of the project to specification and agreed metrics;
•Preparation of documentation required for appraising project viability including; return on investments, project charters, etc;
•Ensure sustainability is taken account of in the strategic planning, design and delivery of any projects.
•Management and tracking of all project related relationships in line with the project management processes as part of FM Information Management Systems ISO standards.
•Providing a regular dashboard for project performance both in terms of delivery, programme and budgets.
•Liaison with Finance over cost categorisation and project reconciliations.
•Support both the Senior Operations Manager and Space Manager in delivering their responsibilities.
•Liaise with Senior Operations Manager regarding development of project budgets and manage the construction of a Capital and Exceptional Revenue budget for UK & Ireland.
•Be responsible for Project budgets below £600,000 ensuring that related spending in the UK&I is within agreed budget and forecast.
•Manage the accounts payable process for areas under their control.
•Ensure effective metrics are in place to enable accurate analysis and reporting on all Project Services operations thus enabling a proactive continuous improvement programme.
•Develop & maintain strong business relationships both internally and externally with the ultimate aims of ensuring business alignment and extracting maximum value for the benefit of all stakeholders and ultimately the Firm.
•Participate in regional and global initiatives and develop a network of contacts (both internally and externally) to ensure best practice and market initiatives associated with FM operations are continuously brought to the attention of the wider FM team
Quality, Environment, Safety and Health (QUENSH)
•Responsible for the development, management and monitoring of policies and processes that comply with a suite of ISO Management Processes (9001, 14001 and 27001). Not only for projects that are self delivered but all projects delivered by either Real Estate or Facilities Management Teams across UK & Ireland.
•Ensure that all projects take account of best practice in environment and sustainability issues, and comply with Health & Safety and other legislative requirements applicable to the service.
•Ensure compliance with relevant legislation and safe systems of work for all areas under line management responsibility extending to both project and day to day activity.
Business Continuity Planning
•Support as required in the planning, updating, implementation and recovery phase of the FM element of the Firm's Business Continuity Plan.
•Managing capital and revenue projects below £600,000 for a large partnership or financial institution of comparable size and complexity and within a regional and/or global environment.
•Experience in managing refurbishments and initial office fit-outs in commercial office premises
•Ideally have an understanding of lean management and six sigma principles
•Good track record in all areas of project management, managing programmes to time, budget and quality
•Professional Membership: Prince 2 qualified.
•Budget Planning & Management: Experience essential for preparing, reforecasting and reporting performance against capital and operating expense budgets.
•Good understanding of statutory compliance (eg, Health & Safety) and current legislation.
